Welcome to Mona, the Museum of Old and New Art. We’re essentially a big playground with art and exhibitions and stuff but also live music, food, wine, bars, restaurants, cellar door, accommodation, library, recording studio, and a tennis court (but not much tennis). Mona was designed to be explored—as a space of wonder and experiment—and while the masses are out there doing just that, there is a bunch of behind the scenes activity going on. This role plays a crucial role in keeping the wheels greased so the punters can play.
Based at Mona's main site in Berriedale, the Office Administrator is a pivotal and central role supporting some key executives, and providing additional administrative assistance to the Health & Safety, and People & Culture teams. This diverse role is ideal for someone who thrives in a varied and fast-paced environment and enjoys proactively contributing to a wide range of coordinating activities from diary management and general office support through to sending shop orders and supporting safety administration.
Though the role is not primarily focused on visitors (those punters we mentioned), you will be a friendly first point of contact for staff and other external parties (eg couriers, meeting attendees, candidates etc) in an administrative environment. And, there's room to grow.
THE GIG:
- Provide key administrative support to senior executives (primarily CEO & COO) and the People & Culture and Safety & Wellbeing teams.
- Serve as the first point of contact for phone, email and face-to-face customer service, including employees, couriers and visitors to the teams, directing enquiries as required.
- Attend leadership and team meetings, taking minutes and distributing agendas and/or supporting documentation
- Support teams with coordination of activities, induction, recruitment, training and wellbeing programs, involving room bookings, communicating with attendees, collecting RSVPs, catering etc.
- Coordinate meetings with internal and external parties, stakeholders and recruitment candidates, providing exceptional communication and making any arrangements.
- Support P&C and Safety teams to keep system data accurate and up to date (eg professional development records or certifications).
- Coordinate incoming and outgoing mail & museum shop orders, prepare postage, and distribute packages internally.
- Support employees and stakeholders with internal communications on our intranet, broadcasting announcements, basic updating and editing of content and page administration.
- Maintain and order office supplies including stationery and kitchen requirements
- Administrative support for purchase orders, invoicing and expenses for key stakeholders
- Assist with other administration, facilitation, documentation, and improvement of processes in these areas
THE YOU:
- Proven experience in administrative roles, ideally with exposure to HR and health and safety functions.
- Strong awareness of confidentiality and confidence to hold the line
- Strong interpersonal skills, capable of liaising with a wide range of internal and external stakeholders.
- Highly organised with the ability to manage a busy reception and administrative support role, ensuring attention to detail and accuracy in all tasks.
- Effective written and verbal communication skills, with the ability to draft process documentation and follow existing procedures.
- Proficient in basic computer systems, with the ability to learn new software quickly.
- Ability to thrive in a high-change, multi-industry environment, showing initiative during quiet periods and adapting to shifting priorities.
